  1. Purpose of data processing and effects of non-disclosure

a) Registration and event delivery

To realise and confirm the registration (application) as well as delivery of the event, we have to store and process personal data. This includes südwissen forwarding the data to the university executing the event. The data marked as mandatory are required to enter into the contract / be admitted to classroom studies. Without the required data registration cannot be completed and thus participation in the event is not possible.

The following will normally be collected as mandatory data: Given and family name, address (private and business address), date of birth, place of birth, country of birth, nationality, email address, phone number and, if applicable, any billing address different from the first address as well as – where previous continuing education measures are credited / for cumulated degrees – academic history (e.g. previous participation in alliance university continuing education courses) and, where applicable, any relevant data already stored with at the university in question (e.g. participation in an academic continuing education at Albert-Ludwigs-Universität).

Additionally, depending of courses offered and their admission requirements, information on education professional qualifications, university degrees may be required as well as the submission of the relevant documentation (degree grade sheets, references, confirmations etc.).

b) Evaluation and statistics

Names, addresses and email addresses will also be used by the university in question to make contact for purposes of evaluating an event.

The mandatory data listed above as well as all other data which may have been collected as well as the information where you heard about the course will also be used for a (demographic) assessment of target groups as well as for a statistic analysis of participants and interested groups. Your educational history may be stored at both südwissen and the university in question to ensure high quality and performance (quality management system).

c) Research

Where your personal data is used for research purposes, we will inform you individually and seek your permission.

d) Information regarding academic continuing education

If you have given your consent to receive information on future events by the continuing education alliance südwissen by mail or email, we will process your given and family name as well as your mail or email address for these purposes. The legal basis for sending information of future events is Art. 6 section 1 lit a GDPR.

  1. Legal basis for data processing:

a) The legal basis for the collection of registration information is § 12 section 1 LHG (Landeshochschulgesetz = German universities‘ law)

b) The legal basis for transfer of data to the university in question, the confirmation of registration and the delivery of the event are Art. 6 section 1 lit. b of the EU General Data Protection Regulation (GDPR) as well as the private law participation contract for the event with the university in question and the cooperation agreement between university and the südwissen brand (Freiburg University).

c) The legal basis for the transfer of data to the university in question, confirmation and delivery of events without participation contract are Art. 6 section 1 lit. e GDPR, section 3 GDPR in conjunction with paragraph 4 Landesdatenschutzgesetz Baden-Württemberg (LDSG= German federal state of Baden-Württemberg’s data protection law) as well as the law participation contract for the event with the university in question and the cooperation agreement between university and the südwissen brand (Freiburg University).

d) The legal basis for evaluation and statistical analysis are paragraph 5 LHG together with Freiburg University’s evaluation regulations (Evaluationsordnung)and paragraph 12 section 1 LHG

e) The legal basis for südwissen mailing out information is Art. 6 section 1 lit a GDPR.

  1. Recipient of information and duration of storage:

As part of the delivery of events we will transfer your data to the following recipients:

a) Registration information

The data collected from you will be transmitted to the executing university. For further details, the data protection regulations of the relevant university apply.

  1. Duration of storage

Following the completion of your continuing education measure, processing your data will be limited unless processing the data for the purpose for which they were collected is no longer necessary. In this case the data will be erased. If you have consented to receive information in future on any such events as stated in the consent, your data will only be erased if you expressly revoke consent or an email / letter remains consistently non-deliverable. As far as any other statistical analysis is concerned, this will be anonymised.

  1. Your rights

a) You have the right to request information from südwissen (Universität Freiburg) regarding your personal data stored and / or to request that any inaccurate data are rectified.

b) Furthermore, you have the right erasure of your data or to restrict processing and in particular the right to object to processing in accordance with Art. 21 GDPR.

c) If you request the erasure of your personal data, your complete data will be erased. In case of a loss of certificates, we will therefore no longer be able to issue and (certified) copies of your certificates or confirmation of courses passed (e.g. for your employer).

d) Whenever you have given your consent, you have the right to revokes such consent at any time. This will, however, not affect the legality of any processing which took place based upon such consent prior to its revocation.

e) Please contact südwissen on any such issue.

f) You have the right to lodge a complaint with a supervisory authority on data protection whenever you feel that processing your personal data is infringes legal provisions.

The relevant supervisory authority is the Landesbeauftragte für den Datenschutz und die Informationsfreiheit Baden-Württemberg (the federal state of BW’s officer for data protection and freedom of information), Königsstraße 10 a, 70173 Stuttgart.

  1. Data processing for information of academic continuing education purposes (number 3d)

Where you have given your consent to receive information from the südwissen alliance and alliance universities on future events by mail or email,  your given and family name, postal / email address and, where applicable, phone number will be processed for this purpose. The legal basis for such processing is Art. 6 section 1 lit a GDPR. You have the right to revoke such consent at any time. Such revocation may be for individual data only. The legality of any processing based on the consent which occurred prior to revocation will not be affected.
